Administrative Specialist CL2 - Ecology and Environmental Sciences (id:52868)

Statement of the Job :
This position is open to the University of Maine COLT staff from 12/28/2018 to 01/04/2019 and open to external candidates thereafter.
The Administrative Specialist, under the guidance of the Director, provides general and specific administrative, programmatic, and student support for the Program in Ecology and Environmental Sciences (EES). This position plays a key role in our interdisciplinary academic program, which links students, faculty, and stakeholders across UMaine and external constituencies in developing and delivering high-quality academic programs and experiences for students. The position is the first point of contact for students, internal partners, and external affiliates, and maintains communications through a variety of online and print channels. The position provides high level administrative support for EES including scheduling meetings, processing student paperwork/admissions, tracking student and course enrollments, and assisting with budgetary tasks and contracting for field courses. In addition to these key responsibilities, there are ongoing opportunities for work on special projects with additional compensation as needs evolve. Flexible work schedule within normal University hours. This position is .75 FTE. Starting pay for this position is $14.23/hr.
Essential Duties:
Processing both undergraduate and graduate student applications.
Providing information to faculty, registering students.
Assisting with course schedules and AP placement.
Assisting in recruitment activities and assisting faculty in undergraduate course evaluations.
Perform receptionist work including meeting and greeting students and parents inquiring about the program, screening and directing phone calls and emails, and handling incoming mail.
Responsible for operating office equipment, preparing correspondences, maintaining and accounting for office supplies.
Updating website.
Assist in organizing meetings.
Other duties related to the EES graduate and undergraduate program may be assigned by the Director, the Graduate Coordinator, or the Undergraduate Coordinator as needed.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster.
