Statement of the Job :
The University of Maine Lobster Institute seeks applications for a Administrative Specialist CL2.
Part-time 20 hours/week ? flexible scheduling
Some nights and weekends required
Availability for occasional travel required
Works with Director and Associate Director on various Institute projects and administration? reports to Associate Director. Responsibilities / tasks include, but are not limited to:
Screens calls, visitors and mail.
Creates and maintains database and filing systems.
Assists in event management
Implements website and social media updates
Processes confidential information.
Schedules meetings and travel.
Attends to accommodations for guests (Parking, etc)..
Basic bookkeeping (accounts payable/receivable)
Orders office supplies
Operates all office equipment.
Composes letters, announcements and memos.
Administrative support for Institute staff.
Develops and maintains professional relationships that reflect courtesy, civility, and mutual respect.
Employee must be able to balance shifting priorities
Performs other reasonably related administrative duties as assigned.

Qualifications :
Required qualifications:
Minimum of high school diploma or equivalent
Minimum of two years of administrative/office management experience
Familiarity with Microsoft Office ?Word, Excel, Powerpoint
Database Management ? Access, Excel ? managing bulk mailings
Ability to take minutes and compile reports
Website updating
Basic bookkeeping skills (accounts payable/receivable, reconcile travel expenses, etc.)
Familiarity with social media
Comfortable interfacing with the public, proven customer service skills
Proven management of correspondence, web & phone inquires
Experience coordinating calendars and meetings
Demonstrated ability to work independently and meet deadlines
Valid Maine driver?s license
Preferred qualifications:
Experience assisting with event and meeting planning
Familiarity with UMS systems (i.e. MaineStreet, Marketplace, Concur, PCard, PeopleSoft
Experience with bibliographic data bases
Prior science background
Familiarity with Maine?s fishing communities.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
