Accounting Specialist CL3--Auxiliary Services Cash Management

Full-time, regular position, 40 hours per week, 5 days per week. Daily work hours are Monday - Friday, 8:00 a.m. to 4:30 p.m. Starting pay is $15.20/hour.
This position is responsible for performing time-sensitive and complex administrative tasks relating to cash management and related financial transactions. Work involves considerable internal and external contacts, difficult non-routine tasks, and access to sensitive financial information. Employee must interpret departmental and University wide policies and procedures, communicate them effectively, and carry them out appropriately.
Essential Duties & Responsibilities:
1. Manages all cash and credit card transactions for all Auxiliary Services units.
2. Prepares daily Schedule of Collections for cash deposits.
3. Prepares daily Journal Entries of all credit card transactions.
4. Prepares and processes weekly change orders of cash.
5. Verifies all cash and credit card transactions against internal databases and PeopleSoft.
6. Coordinates daily pick-up of cash with campus Police.
7. Creates, updates, and maintains spreadsheets and/or databases for the tracking, dissemination, and analysis of financial information.
8. Conducts cash management audits, maintaining integrity and accuracy of all financial transactions and reports.
9. Monitors and reconciles 15 or more departmental revenue accounts on a monthly basis and for year-end processes.
10. Trains Auxiliary Services employees who handle cash and ensures they have an appropriate understanding of all pertinent departmental policies and procedures.
11. Verifies, and maintains records of, Auxiliary Services employees' completion of University Cash Management Training.
12. Answers inquiries which involve clarification or interpretation of financial policies and procedures.
13. Formulates correspondence independently and as directed.
14. Maintains data in multiple software systems including PeopleSoft, MicroSoft Office programs, Gmail, Excel and retail Point of Sale systems.
15. Performs other related duties as assigned by Supervisor.
Knowledge, Skills & Qualifications:
Exceptional verbal and written communication skills required
Strong organizational skills and the ability to manage a variety of tasks
Excellent interpersonal and customer service skills
1 to 3 years of cash management experience and a good understanding of cash handling procedures required.
Experience with Microsoft Office Suite --specifically very strong Excel skills?is required. Experience with business and operational database management software preferred.
Comfortable working with others as well as independently in a fast-paced, multifunctional, office environment at UMaine.
Two years of related, specialized post HS education or equivalent work experience and training AND two years accounting support experience.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
