Accounting Support Specialist CL 2

Position is available to employees of the Associated C.O.L.T. Staff of the University of Maine from 3/22/18 through 3/28/18 and open to external applicants thereafter.
Half-time, regular position, 20 hours per week, 5 days a week. Monday through Friday daily work hours may vary according to the needs of the position. The School of Forest Resources seeks a motivated and skilled individual to serve as the School's primary contact person and a member of our professional and efficient administrative team. The School, a unit within the College of Natural Sciences, Forestry, and Agriculture, has about 35 faculty members, over 450 undergraduate students in four different academic programs, and 50 graduate students. Our programs support Maine's agricultural community and strengthen Maine's economy, while promoting human, animal and plant health, and ecosystem sustainability. This position will interact with members of the public and a diverse group of faculty, professional staff, classified staff and students.
Essential Duties & Responsibilities:
Performs bookkeeping and administrative work relating to accounts receivable such as auditing, checking balances and accounts, and preparing fiscal reports. Performs bookkeeping and administrative work relating to the accounts payable system such as processing, distributing and maintaining invoices; checking balances and setting up financial records; and processing financial forms.
Handles deposits
Performs payroll related activities
Monitors budget transactions and may assist with budget preparation, research, general ledger reconciliation and reporting; prepares journal entries and may assist with preparing monthly financial statements and reports
Order supplies
Operates office equipment and maintains extensive knowledge of appropriate computerized systems necessary for data entry and reporting
Prioritizes and assigns work to lower level staff; monitors the performance of lower level staff; and trains staff on work methods and procedures
Performs other duties of a similar nature and level
Communicates with staff in NSFA Dean's office and other departments on campus regarding budgetary transactions
Knowledge, Skills & Qualifications:
Excellent interpersonal skills with a proven record of team-work, customer service and professionalism required.
Excellent organizational skills with the ability to independently prioritize work and multi-task in a fast paced environment required.
Excellent spreadsheet skills including knowledge of Excel and Google drive spreadsheets preferred
Excellent problem solving and mathematical skills required.
Proven attention to detail and focus on accuracy required.
Knowledge of MaineStreet human resource and financial applications or similar systems experience preferred.
Experience in account reconciliation, purchasing, travel and expense reports required.
This is a soft-money position. Continuation of appointment is contingent on availability of funds and successful performance.
Appropriate background screening is required.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
