Assistant Director- Operations and Reporting

This position is responsible for generating accurate data in support of all financial aid program areas. Provides support to the Senior Data Analyst for major reporting requirements as well as daily office reporting and processing needs. Position supports financial aid staff in the development and continuous improvement of business processes. Assist with documentation, training, and financial aid processing as necessary. Offer support in the set up and maintenance of PeopleSoft student information system. This position's salary is $39,000-$43,000 annually.
Division of Work: This position will support both the University of Maine and University of Maine at Machias Financial Aid Offices. Responsibilities will be very similar, but 25% of the position is dedicated to completing the described work for Machias.
The position will be located on the Orono campus.
Essential Duties & Responsibilities:
Develop knowledge of PeopleSoft architecture, table structure, SQL, query, and equation engine programming languages.
Extract data and create reports to support operational needs and inform decision making. Maintain office query portfolio.
Develop processes, typically using Excel, to run complex budget and award simulations.
Collaborate with System ITS in the development of equations for financial aid packaging programs. Assist with the development and testing of packaging plans. Execute financial aid packaging routines.
Collaborate with staff in various program areas to perform batch processing and other functional work as needed. Examples including processing verification requirement requests, suspense management, grant and loan processing, packaging, disbursement, and award adjustments.
Coordinate ongoing development and evaluation of business processes, and suggest changes to support accuracy, efficiency, and effectiveness. Assist with data or technology needs to implement new processes.
Assist financial aid staff with the development of process documents and instructions for various program areas. Facilitate and/or support related training efforts.
Assist with maintenance of an office-wide operations calendar to track the timing of critical financial aid business processes, related statistics, and other relevent information.
Support the Senior Data Analyst to coordinate and execute testing required for Oracle critical fixes, regulatory bundles and upgrades. Support the annual aid year roll process and assist with the maintenance of financial aid set up tables.
Write and maintain SQL statements in support of communicating verification requirements to students and identifying students who are ready to be packaged.
Particpate in the preparation of several financial aid reports including, but not limited to, IPEDs and the Common Dataset. Also provide data to departments across campus for national surveys, federal reporting, and other needs.
Provide support as necessary for various institutional, state and federal reporting requirements. This may include, but is not limited to, Gainful Employment, annual A-133 audit, Fiscal Operations Report and Application to Participate (FISAP).
Maintain advanced knowledge of financial aid policies and regulations to support business processes, reporting and student service needs.
Represent the University in relevant professional association meetings and serve on association committees. Participate in campus and system meetings as appropriate.
Provide direct customer service and advising to students and parents. Serve as Financial Aid Advisor assisting other staff with student-specific in-depth questions, concerns and issues.
Perform other reasonably related duties as assigned.
Knowledge, Skills & Qualifications:
Typically has the education associated with a Bachelor's degree and 1 to 3 years of professional experience, or an equivalent combination of academic and directly related professional work experience.
Solid knowledge of relational database design, the ability to read and understand data dictionaries, the ability to infer the relationship of tables to the application and the process.
Demonstrated working knowledge of Microsoft Office applications; especially mail merges and Excel.
Excellent analytical, organizational, interpersonal & communication skills.
Strong attention to detail.
Ability to work independently and as a member of a team.
Customer service experience.
Proven problem solving skills.
One to three years of experience administering or developing databases, and database applications & reports.
Experience with PeopleSoft applications.
Demonstrated programming experience using PeopleTools Query, Discoverer, SQL and/or SQR.
Experience with Google application including Gmail, Google Drive, Google Docs, and Google Forms.
Previous financial aid or higher education experience.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
