Accounting Support Specialist CL3: Campus Recreation

The Department of Campus Recreation at the University of Maine seeks a highly qualified and motivated person to fill the position of Accounting Specialist CL3. This is a newly created position that will provide accounting and administrative services to the Department, which includes Campus Recreation and Maine Bound. This position will reside in the New Balance Student Recreation Center on the Orono campus and report to the Associate Director of Campus Recreation. The position will be an active member of the Campus Recreation administrative team and will have a high level of interaction with Department professional, hourly and student staff as well as customers involved in Campus Recreation and Maine Bound programs and facilities. Depending on skillsets, the incumbent may have supervisory duties over some Rec Center student personnel.
Classification Specification
Essential Duties & Responsibilities:
Perform bookkeeping and other related administrative work for Campus Recreation accounts such as account reconciliation, invoicing, daily deposits, accounts receivable, purchasing, accounts payable and prepares refunds.
Maintain filing system for invoices, receipts and other financial documents
Order routine supplies and materials
Solicit estimates and quotes for purchase orders; completes orders once quotes are approved
Reconcile accounts and statements monthly and resolves identified issues
Perform monthly installment billing for memberships and cancellation of overdue/unpaid memberships
Prepare journal entries, budget reallocations and labor adjustments as needed
Assists in full time and student employee recruitment/ad placements etc.
Complete HR forms and payroll authorization (paper and online) for temp and student employees, ensures routing and timely processing
Assist with time entry and approval for student employees and temps
Approve and submit student Rec Center fee waiver requests
Maintain student employee files, certification records and reports
Manage the Campus Recreation phone tree messages
Provides training on administrative policies, procedures & systems
Perform other duties as assigned
Knowledge, Skills & Qualifications:
Two years of related, specialized post HS education or equivalent work experience and training AND two years accounting support experience.
Demonstrated track record of team work, customer service and professionalism.
Excellent knowledge of financial and purchasing procedures, systems, record-keeping, policies, etc.
Strong organizational skills with attention to detail and accuracy.
Ability to manage multiple complex responsibilities simultaneously, develop and implement systems and strategies, determine and set priorities, meet deadlines, and track details.
Ability to work independently as well as collaboratively as a member of a team in a fast-paced environment.
Excellent interpersonal skills and the ability to interact effectively with diverse groups of constituents.
Excellent computer skills and experience with database usage, and fluency in all Microsoft Office applications ? particularly Excel.
Associate or bachelor's degree in a related field with a minimum of three years progressively more responsible administrative experience.
Previous work experience at a university level.
Previous experience with Peoplesoft.
Basic knowledge of database management.
Supervisory Responsibility: May oversee the work of undergraduate student employees
Work Environment: Will work in the fast paced, student-development focused New Balance Student Recreation Center, a collegiate recreation and fitness center at the University of Maine.
Work Schedule: 40 hours per week, 5 days per week, Monday-Friday 8:00 a.m.-4:30 p.m., with occasional weekends or evenings as needed.
Position Type: On-going, full-time, base budgeted.
Schedule for Evaluation: In accordance with guidelines established in the ACSUM agreement.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
