Administrative Specialist CL2 -Diagnostic Lab

Position is available to employees of the Associated C.O.L.T. Staff of the University of Maine from January 23, 2018 through January 30, 2018 and open to external applicants thereafter.
UMaine Cooperative Extension Animal and Diagnostic lab is seeking an Administrative Specialist CL2 to work for the Veterinary Diagnostic Lab (VDL) in the new University of Maine Cooperative Extension Research and Diagnostic Laboratory (DRL) located on Godfrey Drive in Orono. This is a full-time, regular twelve-month position, 40 hours per week. Daily work hours are Monday-Friday, 7:30 a.m. to 4:30 p.m., with an hour lunch break. This position pays $ 13.95 /hour. The start date for this position is as soon as possible.
The AS CL2 performs administrative tasks in support of the DRL, often serves as the initial contact for internal and external clients and will work independently and collaboratively with their supervisor to ensure timely and effective office operations. The AS CL2 will support another AS person at the DRL, assuring that reception phones and area for the DRL are staffed during daily work hours.
Essential Duties & Responsibilities:
greeting and connecting clients with appropriate lab personnel
notifying lab personnel when specimens are received
using standard operating procedures (SOPs)
assisting with development of SOPs where appropriate
processing client bills for Vet Diag Lab (VDL)
communicating with bursar's office re payments
communicating with VDL director about outstanding bills
preparing and keeping track of contracts for vendors used by the VDL
paying invoices from vendors in a timely fashion
reporting to VDL director and UMaine Extension financial personnel monthly about financial status
becoming proficient in the use of Maine Street general ledger and procurement (MarketPlace)
assisting with scheduling for VDL personnel and facilities
as time permits, assisting with data entry or other defined tasks in support of the VDL
using MS Office software proficiently, including Excel and Access
Knowledge, Skills & Qualifications:
High school diploma or equivalent (G.E.D.); AA or Bachelors preferred
Typically has at least two years of administrative support experience
Effective written, oral, electronic, and interpersonal communication skills
Experience reconciling budgets and performing basic bookkeeping
Demonstrated skills in prioritization, workload management, and multi-tasking
Effective recordkeeping skills
Demonstrated skills in operating office equipment (copiers, scanners, faxes, etc.)
Experience with Microsoft Office Suite required.
Ability to travel normally requiring a valid State of Maine driver's license.
Experience working with UMS programs and related systems (e.g. MaineStreet, MarketPlace, Concur, PCard, WEX Fuel Card etc.).
Appropriate background checks are required.

Work schedule is Monday through Friday 7:30 am to 4:30 pm.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
