Business Applications Specialist for Dining & Conferences

This position is responsible for maintaining business application processes for Auxiliary Services, focusing mainly on Dining Services. This position is also responsible for co-coordinating the business processes associated with Auxiliary Services' roles in summer conferences, ensuring that the services and facilities provided to clients, events and programs are organized efficiently and appropriately. Other responsibilities include supporting data-based software application projects within Auxiliary Services and supporting the Associate Director of Business Support Services in department-wide business systems projects. Typical hiring range for this position is $36,000 to $41,000 commensurate with experience and qualifications.
Essential Duties & Responsibilities:
Maintains Dining Services' menu management system and conference software applications. Trains end-users on software usage, policies and procedures. Works with vendors on software upgrades and maintenance issues.
Supports Dining Services' catering software applications and nutrition website.
Works collaboratively with Conference Services to provide an integrated client experience that features excellent customer service, the efficient delivery of appropriate and desirable offerings, and the clear and consistent communication of policies and pricing.
Provides oversight and financial management of Auxiliaries' summer conference business, and supports cards services in relation to the same.
Plans, organizes, and staffs conference activities, including hiring, training, and supervision of student staff.
Maintains Auxiliary Services' mobile applications.
Backs up the Business Applications Specialist for the Bookstore, Printing Services and Housing in the areas of the retail management systems, Persona equipment, and Printing Services business application systems.
Researches and recommends new technologies and monitors trends in support of departmental goals. Participates in long-range planning related to business applications.
Attends applicable training and educational conferences.
Assists the areas of Business Support Services within Auxiliary Services as needed.
Performs other reasonably related duties as assigned by supervisor.
Knowledge, Skills & Qualifications:
Bachelor's degree in related field (such as Business Administration) or substantial experience in supporting business applications is required.
Experience in food service and/or conference management operations is strongly desired.
Advanced computer skills are required with proficiency in information systems technologies.
Must have demonstrated ability to exercise independent judgment and initiative and manage multiple projects and deadlines.
Interpersonal skills must be sufficient to effectively communicate and coordinate with all levels of the University community.
Strong customer service and event planning experience is preferred.
Previous experience with Microsoft Office products (Excel and Word) is required.
Previous experience is preferred with: Persona Security Systems, BlackBoard OneCard Systems, Foodservice Technology, Visual Basic/Java/Object C, HTML, MS SQL, Visual Studio.Net and Crystal Reports.
SUPERVISORY RESPONSIBILITIES: Supervises students during the summer months. May occasionally supervise temporary employees.
POSITION TYPE: Ongoing, base-budgeted, full-time, fiscal year position.
WORK SCHEDULE: Normal University of Maine business hours are Monday through Friday 8:00 am to 4:30 pm. Due to the nature of the position, work beyond regular hours (to include evenings and weekends) will be necessary in order to meet the requirements of the position. The employee should establish regular office hours and in consultation with the supervisor, adjust the work schedule as appropriate.
WORK ENVIRONMENT/DYNAMICS: The Business Applications Specialist will work in an office environment. Assignment and job functions require appropriate time management techniques. Employee is indirectly supervised and must possess a high degree of self-motivation and ability to evaluate his/her own progress. Assignments and job functions have clear guidelines, although the Business Applications Specialist is responsible for defining specific tasks and projects on a priority basis. Change in technology is a large part of employee's work dynamics.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
